Virtual Assistant / Project Manager
for Teen Theater Company

Role Mission

To ensure that the company calendar, communications, and project workflows are up-to-date and run smoothly, with relevant information easily available to team and company members.

Logistics

  • Can be 100% remote (or Santa Barbara based)
  • Part-time (approximately 3 – 10 hours a week, seasonal surges, some hiatuses)
  • Flexible schedule, but must be able to respond to client email within 24 hours
  • Hourly pay $25-35 based on experience

Personal Requirements

  • Excellent verbal and written communication skills
  • Highly organized and attention to detail
  • Able to respond quickly and accurately with many balls in the air
  • Project management experience
  • Graphic arts skills – comfortable creating basic promotional flyers
  • Social media savvy, comfortable with posting and updating company Instagram, Facebook, and website
  • Have experience in the arts (preferably performing arts) and non-profit (501C3) organizations

Key Outcomes

Improve and manage operations processes

  • Optimize GDrive for our nonprofit
    • Organize and track current company and production files
    • Archive post-season documents
  • Track projects on Asana (or similar project management platform)
  • Communication hub on Slack

Create and manage a master calendar

Keep creative directors and staff on track with pre-set goals and deadlines for announcements, production schedules, communications, marketing, outreach and other important benchmarks:

  • Rehearsal and production schedules
  • Marketing/PR calendar
  • Content calendar

Lead Communication with Theatre Company Families and Patrons

This requires the ability to match the tone of our company culture and appropriately direct to separate groups including students, parents, donors, collaborators/partners, media.

Manage Website

Evaluate and manage website performance, facilitate hosting and server management, maintain and update website content.

Ensure that 501C3 Filings are Executed and Tracked On Time
